About Potash

Purpose

Reporting to the Lead Project Information Management, the Specialist Information Management, Document Control is responsible for providing governance and guidance to the business' functional teams for Document Control in SmartPlant for Owner/Operators (SPO).

About the Role

  • Extensive knowledge of document control processes and procedures
  • Uses, stores, assesses, and processes deliverables, data/metadata in alignment with BHP Potash’s Information Management standards and requirements for document management, data quality management, integrity, and governance
  • Regularly assesses and reports on data accuracy, completeness, and consistency, and recommends ways to improve data quality and integrity for both technical and non-technical information
  • Validates legibility, file formats, numbering formats, revision numbers/statuses, titles, and other required metadata
  • Understands engineering information (data and deliverables)
  • Acts as a liaison between Engineering Procurement and Construction Management (EPCM) document control and BHP Potash to ensure coordination of distribution of deliverables and guidance on BHP Potash standards, processes, and procedures
  • Provides training to users and stakeholders on BHP Potash’s standards, processes, and systems
  • Provide feedback and ideas regarding ongoing and future development/improvement of tools and processes required to manage, control, and communicate deliverables and data within a program of major capital projects
  • Determines the underlying cause of problems and evaluates multiple solutions to ensure a planned and structured approach to solving complex problems

Work Location

This role will primarily be based in Saskatoon, Saskatchewan. Hybrid working (flexible working arrangements, shared workstations, and a combination of office and work from home) is standard for BHP. 

About You

Pivotal Experiences for the role:

  • 5+ years’ experience in Document Control 
  • The successful candidate will be a self–starter who understands document control and provides outstanding customer service to internal/external clients with a minimum of supervision

 

Required:

  • Able to perform complex document control duties demonstrating problem solving, collaboration and customer service skills in a proactive manner
  • Able to adapt to situational change as necessary while maintaining BHP Potash’s practices
  • Extensive knowledge of concurrent engineering protocols
  • Good communication skills, both verbal and written
  • Excellent organizational skills with meticulous attention to detail 
  • Advanced computer literacy, in Microsoft Office, Electronic Document Management Systems (EDMS), and SharePoint
  • Proven ability to work under pressure and in accordance with deadlines
  • Relevant owner/operator or mining experience
  • SmartPlant for Owner/Operators (SPO) experience a definite asset

 

Recommended:

  • Degree or diploma in Technical, Business Administration, Records Management, Library and Information Studies, Archival Studies, or a related field with 5+ years of relevant work experience in document control and/or records management
  • Owner/Operator experience preferred or Engineering Procurement and Construction Management (EPCM) experience in engineering, mining, or oil & gas
  • Tertiary qualification in Information Systems, Computer Science or related discipline or an equivalent level of industry experience in a large enterprise environment
